Keep good records
Keep a copy of every invoice you send, and of every receipt for business expenses. Most countries require businesses to keep financial records for several years, often between five and ten, so check the period that applies to you.
A simple system is enough. Create a folder for each year, with subfolders for invoices and expenses, and name files consistently, such as 2026-03-14 INV-0042 Acme.pdf. Back up the folder to a second place, like cloud storage or an external drive.

Watch your cash flow
Profit is what you earn. Cash flow is when the money actually arrives. A business can be profitable and still struggle to pay its bills if clients pay late. To keep cash flowing:
- Invoice as soon as work is delivered, not at the end of the month.
- Ask for deposits on large jobs.
- Follow up on overdue invoices promptly and politely.
- Keep a small cash buffer, ideally a few months of essential costs.
Separate business and personal money
Open a separate bank account for your business, even if you are a sole trader. Every invoice payment goes in, every business expense goes out, and your personal spending stays elsewhere. Bookkeeping becomes much easier, and you can see at a glance how the business is really doing.
Set money aside for taxes
When a payment arrives, part of it usually belongs to the tax office. Move a fixed percentage of each payment into a separate savings account as soon as it arrives, so the tax bill never comes as a shock. If you charge VAT, GST or sales tax, set aside that whole amount too, since you are collecting it on the government's behalf. An accountant can tell you the right percentage for your situation.
